Unity’s database allows you to maintain legal, Know Your Client and other important information about various types of entities from a central location. This main screen acts as a hub showing summaries of share registration, accounting, work-in-progress and billing. This reduces the time spent searching for important information.

Different types of legal entity have specific forms that allow data pertinent to that type of entity to be stored. Entity types that have specific forms are: Company, Trust, Person, Partnership, Asset. New entity types may be added my the user.

entity search
You choose an entity by typing in part of its name or filing reference. If more than one entity matches, you then get a list of these entities so you can make your final choice. This reduces errors in duplication and improves learning time and speed of access.

entity creation
Press the ‘New’ button, enter a name and entity type and you have created a new entity. Unity checks automatically for duplication. New entities can also be created from a template entity, reducing set-up time and risk of error.

share registration
Companies can be set up with as many share classes as you require. These can be in any currency and either certificated or not. A full registration screen lets you process allotments, redemptions, buys and sells.

reports
There are many standard reports that come with Unity that enable you to get the information you need. They are very flexible, offering you a number of ways of sorting, filtering and grouping the information through an easy-to-use report-launching screen. All statutory reports are provided including Annual Returns and Register of Directors.

address
Unity’s addresses are stored in free-form format, in a central location with multiple communication types (telephone, fax, e-mail etc.) You can link as many addresses to an entity as you like, for whatever purpose (Registered Office address, Billing address etc.)

relationships
Once created, entities can be linked to other entities for a specified reason. This could be appointing a person as a director of a company or the settlor of a trust. This information forms the basis of reports such as the register of directors and secretaries. Unity comes with the most common types of relationships but because the list of relationship types is user-definable the uses are endless.

documents
There are three areas that deal with documents. ‘Safekeeping’ tracks important documents for your clients and gives you the ability to see quickly where the documents are being held. ‘Dead storage’ lets you see where your dead files are, when they were stored and when they need to be destroyed. ‘Client folders’ is a handy link to a network folder giving you instant access to that client’s electronic documents (e.g. Letters, Accounts.)

know your client
To keep up with today’s changing regulations, our flexible money laundering and ‘Know Your Client’ tab lets you set up checklists and store relevant information.

custom notes & dates
If you find that Unity does not have a place to store a piece of information you require, you can use the custom notes and dates. The dates can also be used as a simple diary or reminder system.

accounting
The ‘accounting’ tab shows the current trial balance for a client, from which you can print or double click an account to view the transactions.

work in progress
The ‘work-in-progress’ tab shows the current time and expenses for a selected client. You can view in summary or detail and filter for unauthorised, current or cancelled work-in-progress.

bills
The ‘billing’ tab shows all invoices raised, including the original bill amount and amount outstanding. You can sort and filter to find specific bills and re-print a bill from this screen. Double-clicking on various fields will show you the accounting transactions for the bill or a list of WIP written off by that bill.
